Transferring Data

I'm a fire chief for a small department. Not much of an IT person at all. We are switching platforms. I have to get access to all the previous electronic Patient Care Report. The old platform has given me a username and password to be able to access the data but I'm not sure what I'm doing with it at that point. Looking for advice on how this is suppose to work.
